 Farnley Farm Ride 

DISCLAIMER 

Event and Site Rules 

These rules apply to any event or hire at Farnley Ride. 

Event Rules 

  • All events are run under the relevant governing body rules for that discipline, unless otherwise stated. 
  • Owners submitting entries for their horses/ponies do so at their own risk and it is deemed a condition of entry that no liability of any kind be attached to Farnley Ride or its officials in any respect whatsoever. 
  • Horses and ponies must be 4 years or older to be ridden at Farnley Ride. 
  • All horses should be vaccinated, and routine spot checks will be undertaken. 

Rider Dress & Safety Wear 

  • Correct clothing wear for the chosen discipline must be worn whilst riding. 
  • A correctly fitting hat conforming to the current standard per discipline must be worn when mounted. For information about current standards please refer to the relevant sport governing body. When jumping solid fences, the hat must not have a fixed peak. 
  • A correctly fitting body protector conforming to the correct current standard per discipline must be worn when riding over solid fences (e.g. cross country and arena eventing) and is advisable for all disciplines. For information about current standards please refer to the relevant sport governing body: British Eventing. 
  • Boots with a smooth sole and a small heel must be worn. 

Respect for the Site 

  • Flags placed at obstacles on course/at a fence indicate that the rider should approach the obstacle with the red flag on their right hand side and the white flag on their left hand side. Never approach a fence with the red flag on the left and the white flag on the right. Fences are flagged accordingly for health & safety reasons. 
  • Please ensure that you pick up any droppings or litter from around the lorry/trailer park/field before leaving. Failure to do so will result in a £50 fine. 
  • You may not skip out onto the Lorry Park, Field or anywhere else on site. 
  • No hay nets should be tied outside of trailers/horseboxes. 
  • No horse or pony is to be left unattended unless correctly secured inside the trailer/horsebox. 
  • Strictly no ATVs or motorbikes. If you have mobility issues, please contact us prior to the event for alternative arrangements. 
  • Spectators are welcome at all our events. All spectators must listen out for any instructions they are given, whilst on site, for the safety of themselves and our competitors. 
  • Well behaved dogs are very welcome but please keep them on a lead at all times and clean up any waste. 
  • All children under the age of 18 must be supervised by a responsible adult at all times. 

HEALTH, SAFETY & LEGAL INFORMATION 

We would like all visitors at Farnley Ride to have a positive and enjoyable experience whilst at the venue, but we would like to remind you that your safety is your own responsibility. We do not accept liability for any accidents, injury, illness, loss or damage to you. your horse, your vehicle, your companion(s), your belongings or any other animal whatsoever, however caused. Farnley Ride rules apply to any event at the venue or on our grounds, fields and all other premises. 

  1. All clients must have their own appropriate personal and public liability insurance in place. Horse insurance is recommended but is the horse owners’ ultimate decision and responsibility. Farnley Ride accepts no liability. 
  2. Riders should have full control of their horses at all times and both horse and rider should be appropriately skilled to handle any manoeuvre or obstacle attempted. If under the instruction of a riding instructor- the instructor should be suitably qualified, experienced and insured to teach such manoeuvres and/or jump techniques. 
  3. CORRECTLY FASTENED BODY PROTECTORS and RIDING HATS WITH NO FIXED PEAK must be worn when on the cross country courses or when on any arena eventing courses (it is the clients responsibility to make sure body protectors and riding hats conform to the current approved safety standards). 
  4. All those in the vicinity of a horse should always wear an approved riding hat and suitable clothing- including footwear. 
  5. Riders should be accompanied, by at least one person carrying a working mobile phone (mounted or unmounted). 
  6. Children should be very closely supervised. 
  7. Please be considerate of other horses and riders. Horse and Rider etiquette should be applied at all times. 
  8. If the activity permits riding in a group or pairs, horses should follow one behind the other and NOT two abreast. 
  9. Only tackle obstacles that are within you and your horses capability. 
  10. Please report any problems or damage to us immediately, so that we can keep the facilities at the high standard we aim for. 

These rules are largely common sense and are in the interest of your own safety. By entering events or hire outs you are agreeing to abide by these rules. 

An adult must be responsible for a rider under 18 years of age and remain completely responsible for their safety and actions at all times. 

You also accept full liability for the actions and safety of any spectators that accompany you. 

You accept that you will ride at your own risk and that your horse and companions on foot are your responsibility. 

Legal Liability 

No claim will be entertained by the proprietors for injury, loss or damage caused to or suffered by any horse or pony or any other property in connection with or arising from any event or hire, whether or not the said injury, loss or damage is caused by the negligence of the proprietors, their servants or agents. All clients must have their own personal and third party insurance and provide documentary evidence of such cover if requested to do so by the proprietors. 

Anyone taking payment in return for instructing, offering advise or help (instructors) MUST be qualified, experienced and insured to do so. 

General Bio-security 

  • If your horse is showing any symptoms of illness, please do not bring them to Farnley Ride. Symptoms include, but are not limited to: Temperature below 36.5°C or above 38.5°C 
  • Breathing rate below 8 breaths/min or above 15 breaths/min 
  • Resting heart rate below 25 beats/min or above 45 beats/min 
  • Capillary refill time (in the gums) of more than 1-2 seconds 
  • Discharge from the eyes or nose 
  • Unusual stance 
  • Unusual droppings/amount of droppings 
  • Not drinking/eating 
  • Unusual general demeanour 
  • Do not allow your horse to have contact with any other horse onsite. 
  • Avoid having contact with any horse other than your own. If you do have contact with any other horse, wash your hands, remove any outer clothing and disinfect footwear. 
  • Bring your own water buckets and avoid submerging hoses/nozzles. 
  • Do not share any equipment between horses unless it has been disinfected between. 
  • Please do not allow your horses to graze anywhere onsite at Farnley Ride. 

PHOTOGRAPHY POLICY 

Photographers and video teams may attend events, riders should be aware that by entering an event or hire authorises their consent to these images being used in print and online by Farnley Ride, affiliating bodies, social media, show sponsors and in show reports. 

Event photography and event reports are an integral part of the event entered, and entry will constitute acceptance that this is part of the entry contract. We will pass on start lists to event photographers, who may display name, horse name, date and location of event on photographs displayed on their website. We will also pass on rider contact information to legitimate media contacts for the purpose of writing competition reports. 

DATA PROTECTION & PRIVACY POLICY 

Data Protection 

Keeping your personal information safe is very important to us. We are committed to complying with privacy and data protection laws and being transparent about how we process personal data. 

We have policies, procedures and training in place to help our employees and volunteers understand their data protection responsibilities and follow the data protection principles.

This privacy policy relates to our use of any personal information we process about you. 

How we collect Personal Data 

We may collect your personal data in different ways, for example: 

  • when you or your parent or guardian communicate with us by post, telephone, SMS, email or via our website 
  • from the information you provide to us when you make an application to work for us. 
  • as you interact with us in other ways; as a contractor, or in any other capacity 

How we use Personal Information 

We collect and use personal information about our clients, job applicants and volunteers for different purposes. 

  • Membership applications, administration and renewals 
  • Running events and camps 
  • Dealing with complaints and appeals 
  • Undertaking safeguarding activities including DBS checks and casework 
  • Processing expenses 
  • volunteer recruitment 

We only collect personal information that we genuinely need. 

This may include: 

  • Contact details such as name, address, email address and phone numbers 
  • Details about your horse such as the name, age, sex and passport number 
  • Credit card details and any purchases you have made 
  • Date of birth and gender 
  • Any Special Educational Needs (SEN) requirements including relevant medical records 
  • Dietary requirements where this is required for catering 
  • Qualifications 
  • Name of your parent or guardian (if you are under 18) 
  • Name and contact details of any next of kin 

Running Events 

If you register for one of our events, we will use your information provided to us to process your registration and enable you to attend the event. This will include sharing some of your information with our staff or volunteers that run the event. 

Dealing with Complaints & Appeals 

If a complaint or an appeal is raised with us, we will process the personal information that is provided to us to manage and resolve the complaint or appeal. This may include sharing relevant information with an affiliated organisation, a coach, welfare officers or another organisation, depending upon the nature of the complaint and the that area it relates to. Our legal basis for using personal information for this purpose is to fulfil our legitimate interest and fulfil our objective of resolving complaints in a careful and appropriate manner. 

How long we keep your Personal Information 

We will hold your personal information for as long as is necessary. We will not retain your personal information if it is no longer required. In some circumstances, we may legally be required to retain your personal information, for example for finance, employment or audit purposes. 

  • We will keep records of events for 2 years, in order to facilitate any insurance claim resulting from the activity. 

Changes to this Policy 

This Privacy Policy may change from time to time. Where practical we will provide you with an updated Privacy Policy from time to time. However, we also recommend that you please visit this web page periodically to keep up-to-date with the changes in our Privacy Policy. 

We want everyone to enjoy the Farnley Ride. All riders hiring/using the Farnley Ride must agree to abide by our terms and conditions, and act responsibly. Thank you. 

  1. Ride tracks are signed with a red arrow. For safety and biosecurity reasons, please follow these tracks carefully and respect the Countryside Code. Please close and secure gates behind you. No deviations from these routes are permitted. 
  1. Bikes are not permitted on the ride circuit. 
  1. Riders are asked to report any accidents, damage to any jumps or other property on the Ride as soon as possible. This helps us to maintain our high standards of health and safety and a well-maintained course. 
  1. Although we have attempted to make the course as safe as possible, Farnley Ride cannot be held responsible for any damage or injury to riders, horses or their property. The jumps are of varied height, nature and levels of difficulty. The decision to jump is ultimately the responsibility of the rider; the rider alone has to decide upon their limits in performance and the ability of his/her horse/ pony. We highly recommend that riders inspect jumps and landing areas prior to attempting the jump to ensure that it is safe for you. 
  1. Approved hard hats and body protectors to the current British Equestrian Trade Association standard and suitable safety equipment must be worn when riding. When hiring Farnley Ride, riders must ride in at least pairs. 
  1. Mobile phones must be carried for contact with the Ride Office or emergencies services if required. 
  1. Riders aged 18 or under must be accompanied by a responsible adult. 
  1. Farnley Ride staff and stewards have the right to ask all riders for identification at any time. 
  1. All riders must ride only to their ability and level of fitness. 
  1. All horses are required to be of a level of fitness and ability to complete the course. Farnley Ride reserves the right to refuse access to the Ride to any horse with which they have any concern as to fitness, temperament or ability. 
  1. Horse boxes and vehicles are parked at owners own risk. 
  1. We do not refund any ride booking, riders will be offered an alternative date to attend. Rides cannot be moved to another year

13. Farnley Ride reserves the right to cancel the ride hire due to unforeseen circumstances, including poor weather and safety reasons. Alternative dates will be offered. We do not refund any booking if this situation arises. 

14.The Farnley Ride reserves the right to ask riders to leave the premises if they do not abide by the agreed terms and conditions. 

  1. All riders run the risk of having to wait for the next available time slot to access the ride circuit if they arrive after their allocated time. Please note at busy times other parties are likely to be on the course. 
  1. It is compulsory that all dogs are always kept on leads, you will be asked to leave the course if the dog is not kept on a lead. 
  1. The red flag must be to your right hand, anyone caught jumping the fences the wrong way will be asked to leave immediately. 
  1. We are a non-smoking premises, anyone caught smoking will be asked to leave immediately. 
  1. Vehicles and contents are left at owners own risk. 
  1. Anyone caught emptying/cleaning out their horsebox/trailer of their muck/shavings/hay/rubbish etc into the car park field will be charged a £50.00 fine. 
  1. If you are going to be later that 30 minutes starting on the course on your horse/pony you will have to move your booking to an alternative date/time. 

23. Please respect other riders/horses on the course and ask to go past them and do so at a walk. 

24. All riders/owners/participants on or at the ride must have public liability insurance. 

25. Grazing livestock is on and near to the farnley farm ride. 

26. Please be aware the ground surface is an uneven surface on the farm ride which goes across fields, grooved tracks, woodland. Riders will be crossing uneven terrain throughout the farm ride, please be aware of this and ride accordingly and safely to the conditions you see in front of you. 

HEALTH & SAFETY POLICY 

Policy Statement 

We take health and safety very seriously here at Farnley Ride. All volunteers, staff must read and sign our policy statement.

The policy lays out the requirements for a safe and healthy environment for employees who work at Farnley Ride, members of the public who visit Farnley Ride. 

Our Responsibilities 

At Farnley Ride we wish to maintain a very high standard as far as health, safety and welfare is concerned. We recognise that it is a legal responsibility of the owners and all employees to contribute to the safe running of Farnley Ride and to be aware of the importance and continuous maintenance of the policy. 

Visitor’s Responsibilities 

Individual and group safety is paramount. To this end visitors, especially parents/guardians who have responsibility for young people under the age of 18 years, also have a part to play. If you become aware of any issue which you feel may have a baring on anyone’s safety, please inform us without delay. If you become aware of anything which you feel might present serious and imminent danger to any person stop the activity immediately and seek advice. 

Information 

Each member of staff, or volunteer will be taken through our induction process and issued with all our Rules, Plans, Risk Assessments, Responsibilities, Policies and Rules. All documents should be read by all.

See Appendix 1 – Risk Assessment Recording and Dealing with Accidents All accidents or incidents must be reported immediately and entered in the Accident Record Book. There is an accident book in the registration hut.

Medical Emergency to Animal or Human 

In the event of a medical emergency, to animal or human, another person should be alerted and if necessary, an ambulance or veterinarian should be called. Donaldsons Vets’ number is on the notice board in the registration hut. The emergency services’ number is 999. 

Reporting Hazards, Near Misses and Dangerous Occurrences 

It is the responsibility of employees including volunteers to safeguard their own safety and the safety of others. They must work within the guidelines set out in this policy and comply with the regulations for employees.

Farnley Ride has taken every reasonable precaution to ensure the Health and Safety of everyone present. For these measures to be effective everyone must take all reasonable precautions to avoid and prevent accidents occurring and must obey the instructions of the Owners, Organisers and all other Officials 

and Stewards. To this end, visitors, especially parents/guardians who have a responsibility for young people under the age of 18 years, also have a part to play. If you become aware of any issue which you feel may have a bearing on anyone’s safety, please inform us without delay. If you become aware of anything which you feel might present serious and imminent danger to any person – stop the activity immediately and seek advice.

Activities where Riders may fall from height :  Some Horses are prone to get over excited and will misbehave during either warm up, training and/or competition;  Horse and/or Rider fall – predominantly rider fall;  Risk to Officials and Spectators also; 
• All walkways and grounds are set out with Health & Safety in mind – cordoned off and signposted, gates and doors are in place to contain loose Horses;  • Warm up areas have a limit for the amount of Horses and Officials in them at any one time;  • All Officials should wear a high viz tabard or Farnley Ride Official Gilet  • Riders are responsible for ensuring that they & their Horse are fit 
& experienced enough to train/compete in the  exercise/competition/height of fence they are attempting;  • Riders are responsible for wearing up to date and appropriate 
riding hats, body protectors, boots, gloves and other aids;  • Riders will school Horses in the designated practice/warm up
